Our client are building AI to help people improve the way they communicate. With a focus on speech and text analysis, they are shaping the future of communication. Their platform helps provide real-time feedback to sales and customer service representatives to assist and identify how to get improved results from their phone calls. Since being founded in early 2017, they have grown to over 60 people coming from more than 10 different nationalities. They promote a collaborative environment where they encourage everyone to bring forward ideas to help improve the company and help shape their future.


Your tasks and responsibilities

  • Provide a welcoming environment for all visitors and staff

  • Handle all secretarial tasks, e.g.: Front desk duties, general correspondence, mail processing, telephone service

  • Ensure the office is running smoothly by dealing with daily queries including but not limited to managing incoming and outgoing mail, courier services, snacks and beverages, office and IT supplies

  • Liaise with our property manager, suppliers and service providers; Manage all local vendors to negotiate charges and seek new providers when appropriate

  • Travel management for the team: organisation of flights, hotels and rental cars

  • Take responsibility for planning and organising team events, while partnering with the right stakeholders. This includes managing the budget, booking venues and communicating with everyone across the business

  • Support of our Executive Assistant in daily business


Your profile

  • At least 2 years of professional experience in a comparable position

  • Advanced English (C1) and German language skills (C1), both in written and spoken, clear and empathetic communicator

  • Exceptional organisational and time management skills with a high level of attention to detail

  • Passionate self-starter, with a hands-on mentality; Ability to thrive with minimal supervision; High degree of responsiveness and quick adaptation to a wide variety of needs

  • Enthusiastic and able to build relationships and trust in a fast-paced environment

  • Understands office management as a key role for every team

  • Excellent computer skills (MS Word, Excel, PPT or G Suites equivalents)

  • Experience in a scaling startup

  • Outgoing, friendly and confident attitude
